Quotation & payment
Your quotation explains the proposed costs and services. Your proforma invoice, or PI, records the payment request and transaction terms. After you transfer funds, the bank transfer confirmation you submit and the funds received by MAX AUTO are checked as separate steps.
Understanding these records helps you see what has been agreed, what has been paid, and what still needs your attention. Always follow the issued documents for your own transaction.

Start with the Formal Quotation
The website's vehicle and freight calculator gives you a starting estimate. Before paying, review the quotation prepared for your selected vehicle and destination.
Check the vehicle reference, destination port, shipping method, currency, validity, and each charge. Ask which services are included and which costs are outside the quotation. If several vehicles are involved, confirm how each one is identified and how shared charges are allocated.
Our quotation process separates vehicle, transport, and other applicable costs so you can discuss the items clearly. If a cost or description is unclear, ask our team to explain it before accepting the terms. Keep the confirmed version rather than relying on an earlier estimate or message.
Provide Accurate Buyer and Consignee Details
Send the legal name, company details where applicable, address, and contact information requested for your transaction. The consignee is the party named to receive the shipment; your local broker can help confirm how the receiving details should appear.
Check spelling, address format, and any destination-specific identifiers with the relevant parties. Tell MAX AUTO if the buyer, payer, importer, and consignee differ, so that our team can review the arrangement before issuing documents.
Read the Issued PI Before Arranging Payment
MAX AUTO reviews the transaction and issues the PI. Check these points against your agreement:
- Parties: seller, buyer, and any receiving details shown.
- Vehicle: the correct reference and identifying information.
- Amount: currency, quoted charges, total, and the amount currently due.
- Terms: payment timing, quotation or invoice validity, and any conditions recorded.
- Payment instructions: beneficiary and bank details, required reference, and any fee instructions.
Ask for a correction if anything differs from the agreed transaction. Use the latest issued version after the correction is confirmed. A PI gives you the transaction's payment instructions; the payment status is established through the later bank confirmation process.
Make the Transfer and Submit the Bank Confirmation
Use the payment instructions on the issued PI and follow your bank's transfer process. The website's local currency display is a budgeting reference: final quotations and payments are in USD. Confirm your bank's conversion and transfer charges when arranging payment.
After sending the funds, provide the bank transfer confirmation through the transaction channel instructed by MAX AUTO. Keep the PI or transaction reference with the evidence so our team can match it to the correct purchase.
Make sure the submitted evidence shows the relevant transfer amount, currency, date, reference, and identifying transfer details. If your bank reports a pending or processing transfer, describe that status accurately. Contact our team if you need help with what to submit.
Understand Received Funds, Receipts and Balance
There are several distinct records in this stage:
- Transfer confirmation: evidence from your bank of the transfer you arranged.
- Received payment: the amount confirmed at MAX AUTO's receiving bank.
- Customer receipt: the receipt provided for the payment recorded by MAX AUTO.
- Remaining balance: any amount still due under the transaction's terms.
Submitting transfer evidence does not by itself mean the receiving bank has credited the payment. Check the recorded payment status and follow any request for additional information. If the received amount differs from what you expected, ask our team to explain the amount recorded and any balance before arranging another transfer.
Keep One Clear Transaction Record
Keep the confirmed quotation, latest PI, transfer evidence, and receipt together. In your customer account, review the transaction information and documents made available to you. Ask our team which action is needed if the record or a payment status is unclear.
